Terms of Service.

These terms explain how RumbleForms works, what you can expect from us, what we ask from you, and how subscriptions, submission credits, cancellations and refunds are handled.

The short version

RumbleForms receives website form submissions, stores them in the account dashboard and sends related emails. You remain in control of your forms and customer relationships. We use reasonable security and aim to keep the service dependable, but no online service can promise uninterrupted operation or guaranteed email delivery.

Paid subscriptions recur through PayFast until you unsubscribe. Unsubscribing stops future charges while paid access continues to the end of the current paid period. Once-off submission and AI credits are not recurring and expire 12 months after verified payment. Nothing in these terms removes rights that South African law does not allow us to exclude.

Who these terms are between

RumbleForms is a product, service and trading brand operated and managed by Rumble Websites. It is not a separate company, legal entity, partnership or contracting party. Rumble Websites is a personally managed South African business operated by Alistair Dickerson in Cape Town, Western Cape. Your agreement for RumbleForms services is therefore with Rumble Websites as the service operator.

In these terms, “RumbleForms” describes the form service and brand. “Rumble Websites”, “we”, “us” and “our” refer to the service operator and contracting business. “You” means the person or organisation creating or using an account.

These terms apply when you create an account, connect a form, use the builder, buy credits or start a subscription. If you have a separate written managed-service agreement with Rumble Websites, that more specific agreement will guide the managed service where it differs from these general terms.

Why payments say Rumble Websites. Because RumbleForms is part of Rumble Websites and not a separate entity, Rumble Websites is the merchant and payment account holder. PayFast checkout, transaction emails, receipts, debit instructions or bank records may therefore identify Rumble Websites, PayFast or PayFast by Network rather than RumbleForms. This still relates to the RumbleForms service purchased from Rumble Websites.

What RumbleForms provides

RumbleForms provides a hosted backend for website forms. Depending on your plan and configuration, this can include:

  • account access through secure, time-limited email sign-in links;
  • form connections, trusted-domain controls, access keys and embed tools;
  • a visual form builder or code for connecting your own form design;
  • storage of accepted submissions and delivery of notification and thank-you emails;
  • usage information, form-view statistics and account administration tools; and
  • LandoBot, the optional approval-first AI form-design and reply-drafting assistant; and
  • paid plans and optional once-off submission- and AI-credit bundles.

The service is digital and supplied online. It does not include website hosting, website design or custom development unless Rumble Websites agrees to that separately in writing.

LandoBot AI assistant

LandoBot is an optional assistant inside the RumbleForms builder and form dashboard. In the builder it is tied to the exact saved form currently open. It may inspect that form’s fields, order, widths and visual settings, save outstanding builder edits before preparing a response, and propose changes to that same form. It does not create or edit a separate form record during an ordinary conversation. The guided first-time generation flow designs the newly created form that is already open.

Clear requests may produce an action plan. If LandoBot cannot identify the intended field or position safely, it should ask a focused clarification question instead. Greetings, ordinary conversation and clarification questions do not use account AI credits. Tasks such as advice, configuration checks, reply drafts, generation and form editing may use credits; the exact cost and plain-language actions are displayed before approval.

No proposed builder change is applied and no task credit is charged until you approve it. The right-click quick-action menu is a convenience for selecting, editing, moving, duplicating, deleting or giving LandoBot the context of a particular visible field. Direct non-AI quick actions can change the form without an AI-credit charge and are saved through the normal builder process.

For common account, subscription, PayFast, delivery, credit and branding questions, LandoBot may provide a short answer from the RumbleForms help guide without contacting the external AI provider or using AI credits. If more help is needed, the account holder may choose Contact support and submit a name, email address or phone number, category and problem description. This creates a support email to RumbleForms from the authenticated dashboard; it does not change the form, reveal an access key or automatically include a customer submission.

The Stop control stops the browser from waiting for the current response and prevents that response from being approved through the interrupted screen. Nothing is applied and no account AI credit is charged merely because Stop was pressed, although a request already sent may still finish processing within the AI provider or create a short-lived unapproved plan. AI output may be incomplete, incorrect or unsuitable. You remain responsible for reviewing every proposed field, design, legal statement, regulated question and customer reply before approving or using it.

Accounts, access keys and security

You must use an email address you control and keep that email account secure. Login links, access keys, embed tokens and administrator access are confidential. Do not publish private login links or share account access with someone you do not trust.

Tell us promptly if you believe an account, email address or access key has been compromised. We may invalidate sessions, login tokens or keys where reasonably needed to protect you, form submitters or the platform. Resetting an access key can require you to update the connected form on your website.

You are responsible for keeping your account email, receiving email, websites and trusted-domain settings accurate. We are not responsible for delivery failures caused by an incorrect address, full mailbox, customer mail filter, DNS problem or a third-party email provider outside our reasonable control.

Using forms responsibly

You decide which information your forms request and why it is collected. You must have a lawful reason to collect it and give form visitors an appropriate privacy notice for your business. You must also honour valid access, correction, objection and deletion requests relating to information you control.

Please do not use RumbleForms to:

  • break the law, mislead people, impersonate someone, harass, discriminate or facilitate fraud;
  • send spam, phishing messages, malware or abusive automated traffic;
  • collect card numbers, CVV codes, banking passwords, account passwords or other authentication secrets;
  • collect health, biometric, criminal, child-related or other special personal information unless it is genuinely necessary, lawful and protected by appropriate safeguards; or
  • interfere with security, bypass plan limits or use an access key on an unauthorised domain.

If you use a form for a regulated or high-risk purpose, you remain responsible for professional advice, consent language, recordkeeping and any industry-specific compliance that applies to you.

Plans, monthly allowances and credits

The plan and price shown at checkout govern the purchase. The current public plans include Free, Starter, Premium and Professional. Monthly submission allowances reset at 00:00 South African time on the first day of each calendar month. A form may temporarily stop accepting new submissions once the available allowance and any purchased credits are exhausted.

Purchased submission credits work as follows:

  • one credit covers one additional accepted form submission;
  • the standard entry price is R5 for three credits, with any advertised plan and larger-bundle discounts calculated at checkout;
  • the monthly plan allowance is used first, then credits are used oldest-expiring first;
  • only PayFast-verified paid purchases add credits;
  • credits expire 12 months after verified payment and do not reset monthly;
  • eligible accounts may purchase up to 1,000 credits in a rolling 12-month period; and
  • Professional and other unlimited or manually managed accounts may not need or qualify for credit purchases.

Dashboard inbox retention is separate from the monthly submission allowance. Unless a shorter period is selected or a record is manually deleted, dashboard copies are scheduled for automatic deletion after 15 days on Free, 30 days on Starter, 60 days on Premium and no more than 365 days on Professional. These periods do not control a separate email copy already delivered to your selected external mailbox.

The AI assistant includes 30 monthly credits on Free, 200 on Starter, 1,000 on Premium and 5,000 on Professional. AI credits are account-wide. A read-only configuration check, advice response or reply draft normally uses one credit; broader generation and editing actions show their exact cost before approval. Purchased AI top-ups are available from Starter upward, expire 12 months after verified PayFast payment and are limited to 10,000 purchased credits in a rolling 12-month period. Monthly allowance is used before purchased credits.

The assistant prepares a plain-language action plan before charging. Nothing is applied until you approve the displayed actions and exact cost. Customer reply drafts are never sent automatically. AI output can be incomplete or incorrect, so you remain responsible for reviewing form wording, legal or regulated questions, calculations and every customer reply before use.

Free and Starter customers may be offered a R199 once-off purchase that permanently removes the public RumbleForms watermark from one specifically selected saved form. It is not a subscription, is not transferable to another form, and does not remove the universal footer from platform-delivered emails. Premium and Professional already include public-form watermark removal while that plan access remains active, so this separate purchase is not offered on those plans.

Reasonable anti-abuse and technical limits still apply to “unlimited” plans. Unlimited means no ordinary monthly submission quota, not permission to create harmful traffic or overload the service.

PayFast payments and recurring billing

Self-service payments are processed by PayFast through the Rumble Websites merchant account. RumbleForms sends the verified amount and order or subscription reference to PayFast, while card and bank credentials are entered in PayFast’s secure environment. We do not store your full card number or CVV.

Merchant identity: Rumble Websites is the supplier, contracting business and payment-account holder for RumbleForms purchases. RumbleForms is the name of the service being supplied and is not a separate legal entity. A payment reference or descriptor displaying Rumble Websites or PayFast is therefore consistent with a RumbleForms purchase.

  • Currency: transactions are charged in South African rand (ZAR). Any other currency shown on the public pricing page is an estimate for convenience and may differ from the conversion used by your bank.
  • Subscriptions: you authorise the amount and monthly or yearly frequency selected at checkout. PayFast charges on or around the original subscription date until you unsubscribe or the subscription otherwise ends.
  • Activation: a plan, submission- or AI-credit purchase or per-form watermark removal activates only after RumbleForms receives and validates PayFast’s payment confirmation.
  • Plan changes: an approved upgrade or downgrade changes account access and the future recurring amount or frequency immediately. The current system does not automatically calculate a prorated credit or refund.
  • Payment records: we keep transaction references, amounts, status, consent and related technical records for reconciliation, fraud prevention, support and legal obligations.

Your use of PayFast is also subject to PayFast’s applicable legal terms and Privacy Policy. PayFast or your bank may decline, delay, reverse or investigate a payment under their own rules.

Delivery mode and timing

RumbleForms is delivered electronically through your dashboard. There is no physical delivery or shipping charge. Paid access, submission credits, AI credits and per-form watermark removal are normally made available shortly after verified payment, but banking, PayFast, email, hosting or network delays can occasionally slow confirmation.

The service is operated from South Africa and is available internationally where lawful. You are responsible for ensuring that your use is permitted in your country and that any cross-border collection of personal information is lawful.

Cancellation, refunds and chargebacks

Unsubscribing

You can unsubscribe from an active self-service subscription in the billing section of your dashboard. There is no RumbleForms cancellation penalty. A successful unsubscribe request stops future PayFast charges, while your paid plan remains active until the recorded end of the current paid period. It then returns to the Free plan unless another arrangement applies.

Our fair refund approach

Because access is delivered digitally and becomes available after payment, used subscription periods and consumed credits are generally not refundable. We will nevertheless review a refund fairly where:

  • you were charged twice, charged the wrong amount, or charged after a confirmed cancellation;
  • paid access was not supplied because of a fault on our side and we could not fix it within a reasonable time;
  • you request cancellation of an initial or renewal subscription payment within 7 calendar days and there has been little or no paid-plan use;
  • you request a once-off credit refund within 7 calendar days and none of those credits has been used; or
  • a paid per-form watermark removal was not applied to the selected form and we could not fix it within a reasonable time; or
  • a refund or other remedy is required by applicable law.

If part of a service or credit bundle has already been used, we may offer a fair partial refund or decline the unused portion where the value has already been materially received. A refunded or reversed per-form watermark purchase may restore the watermark to that form. Expired credits, ordinary change of mind after significant use, customer configuration mistakes, or third-party website and email failures are not normally refundable unless the law requires otherwise.

Send a request to info@rumblewebsites.co.za with the account email, PayFast reference, date, amount and reason. We aim to respond within 5 business days. Approved refunds are processed through PayFast or another appropriate method. Depending on the payment method and bank, PayFast advises that a refund can take approximately 2 to 10 business days to reflect.

Please contact us before opening a chargeback so we have a fair chance to investigate, but this request does not remove any lawful right to dispute an unauthorised or incorrect payment. Fraudulent chargebacks or payment abuse may lead to account restriction while the matter is investigated.

Your statutory rights remain intact. Nothing here excludes a cooling-off right, refund, repair, re-performance or other remedy that must be provided under the Consumer Protection Act, Electronic Communications and Transactions Act or another applicable law.

Availability, email delivery and support

We use reasonable care to keep RumbleForms secure and available. Maintenance, internet failures, load shedding, hosting incidents, email-provider filtering, cyberattacks and events beyond reasonable control can cause interruption. We do not promise 100% uptime or that every email will reach an inbox. Successfully stored dashboard copies remain available only until their applicable retention date or earlier manual deletion; the dashboard shows email delivery status separately.

If an issue is on our side, we will make a reasonable effort to investigate, restore service and communicate material problems. Support is provided through the contact details below. Response and repair time depends on urgency, complexity, access and third-party cooperation.

Data protection and confidentiality

Our Privacy Policy explains how account, submission, analytics and billing information is handled. For information submitted through your business form, you generally decide the purpose and requested fields and act as the responsible party; RumbleForms processes that information to host, secure, store and deliver the service on your behalf.

Each party must protect confidential and personal information it controls, use it only for lawful purposes, and respond reasonably if a security concern arises. Submission bodies and sender identifiers are available through the authenticated account inbox, not ordinary staff or administrator tools. We may still assist with a data-subject request or security investigation using the least information reasonably necessary.

Your content, our platform and branding

You retain ownership of the text, logos, form content and other material you upload or submit, and you confirm that you have permission to use it. You give us a limited licence to host, copy, format, transmit and display that material only as needed to provide, secure and support RumbleForms.

RumbleForms software, builder assets, templates, documentation, design systems, logos and platform branding remain owned by Rumble Websites or the relevant licensor. You may use generated embed code for your connected websites, but you may not copy, resell, reverse engineer, disable security controls or remove branding that your plan requires. Public form branding may be removed where the selected plan includes it or after a verified per-form watermark-removal purchase. The universal RumbleForms email footer remains part of platform-delivered emails across plans.

Pausing, suspending or closing an account

You may stop using the Free service at any time and can ask us to close your account. Before closure, request a copy of information you reasonably need. Account deletion can permanently remove forms, keys, submissions and login records and cannot always be reversed.

We may pause a form or restrict an account where reasonably necessary for security, unlawful activity, serious abuse, payment fraud, material breach or platform stability. Unless urgent action is needed, we will try to explain the concern and give you a reasonable opportunity to fix it. We will not use suspension to avoid providing a refund or remedy that is legally due.

We may retire or materially change the service with reasonable notice. Where we end a paid service for reasons unrelated to your breach, we will provide a fair remedy for the unused prepaid portion.

Reasonable limits and shared responsibility

We are responsible for providing RumbleForms with reasonable skill and care. You are responsible for your form questions, legal notices, recipients, website implementation, account security and use of submitted information.

To the extent permitted by law, neither party is liable to the other for indirect, special or consequential loss that was not reasonably foreseeable, such as lost opportunity or reputational harm. Our total liability for a proven claim relating to a paid RumbleForms service is limited to the fees you paid for the affected service during the 6 months before the event giving rise to the claim, or R1,000, whichever is greater.

This limit does not apply where liability cannot lawfully be limited, including fraud, wilful misconduct, gross negligence where the law prevents exclusion, or a statutory consumer or data-protection remedy. It also does not excuse either party from taking reasonable steps to reduce avoidable loss.

If a third-party claim results directly from unlawful content or instructions you supplied, you remain responsible to the extent the claim was caused by your breach. We will not seek to make you responsible for a claim caused by our own unlawful conduct or failure.

Changes to plans or these terms

We may update these terms to reflect product improvements, pricing, security, provider rules or law. The updated date will appear at the top. For a material change that negatively affects an active paid subscription, we will aim to give at least 30 days’ notice by email or dashboard message unless urgent legal, security or PayFast action requires less notice.

We will not use a later general update to remove a benefit already paid for during the current period without a fair alternative or remedy. If you do not agree with a material change to an ongoing service, you may unsubscribe before it takes effect.

Complaints, disputes and South African law

These terms are governed by South African law. If something goes wrong, please contact us first so we can investigate and try to resolve it fairly. We aim to acknowledge a complaint within 2 business days and to provide an outcome or meaningful progress update within 10 business days.

If direct discussion does not resolve the issue, both parties should consider good-faith mediation before court proceedings, unless urgent relief is reasonably necessary. Proceedings must be brought in a court with lawful jurisdiction; where legally permitted, Western Cape courts will be preferred.

If any term is invalid or unenforceable, it will be limited only as far as necessary and the rest will continue. Nothing in these terms prevents a consumer from approaching PayFast, the National Consumer Commission, the Information Regulator, an ombud or another authority with lawful jurisdiction.
